The ICRC Regional Delegation in Tashkent is looking for a: Assistant & Information Management Officer

Purpose

 The Assistant & IM Officer provides administrative support and is responsible for information management, either independently or under the supervision of Head of Regional Delegation. S/he acts as a reference person for written protocols, correspondence and standard tools. S/He will be the focal person for SharePoint, Lotus Note, and various databases and coordinate with Regional and HQ counterparts to relay policies, guidelines and directives.

Functional Responsibilities:

Manage and coordinate the flow of information, ensuring that staff understand it and apply the appropriate institutional policies and procedures; set and revise information-management and communication procedures.

  • Implements manage and monitor projects and programmes related to the Information Environment Strategy; brief and train the users.
  • Manage and monitors collaborative spaces and databases, including access, and update information in the reference tools; acts as a reference person for the ICRC intranet.
  • Draft, review, compile, edit and finalize correspondence, presentations, decision-making documents, meeting minutes and other documents; ensures information is shared among users.
  • Receive and screen incoming calls, welcome visitors and manage agendas.
  • Independently manage appointments and organize internal and external meetings and events; represent the ICRC to high-level contacts and counterparts in the diplomatic corps.
  • Assist the management by updating the timeline, schedule and other tools.
  • Ensure staff are briefed and/or trained on information management, written protocols and correspondence, rules on signatures and the institutional guidelines, use and storage of office supplies, records management, archiving, and information-management tools; ensures they comply with related rules and procedures

Selection Requirements and Profile:
•University degree or advanced technical certificate
•At least 3 years' experience in related function
•Advanced computer skills, including Microsoft Office suite, SharePoint and IBM Lotus Notes
•Strong organizational skills
•Excellent attention to detail and problem-solving skills
•Very good command of written and spoken English, Russian and Uzbek

•Strongly motivated by humanitarian work, with effective communication and listening skills.
•Neat appearance, well developed writing and analytical skills.

The ICRC regional delegation is present in Central Asia since 1992, where it works to protect and assist vulnerable populations suffering the consequences of conflict and other violence, in cooperation with the National Red Crescent Societies. The ICRC assists the region's National Societies in building their capacities, particularly in emergency preparedness, restoring family links and promoting IHL. It supports the implementation of IHL and other norms relevant to the use of force, and fosters understanding of the ICRC's mandate and work.
